As e-invoicing mandates continued to expand, Melitta needed to build a scalable, SAP-integrated solution across multiple countries. Together with ecosio, Melitta established a structured, repeatable rollout model for implementing country-specific compliance requirements efficiently and at scale.

Before working with ecosio, new requirements in Belgium and Poland made it necessary for Melitta to adapt its invoicing processes across multiple markets. At that point, there was no e-invoicing setup in place, so the technical and operational foundations had to be built from the ground up.
In Belgium in particular, short lead times left little room for structured preparation and put noticeable pressure on the project team. In practice, Melitta had to build a scalable e-invoicing setup for multiple countries, define new processes and bring technical, regulatory and operational requirements together from the start.
We first had to familiarise ourselves with e-invoicing. Especially at the beginning, it was not always immediately clear which steps were required in detail. As a result, we were reacting rather than acting at first.
Melitta was looking for a solution that would reduce growing e-invoicing complexity, integrate seamlessly into its existing SAP landscape and create a robust foundation for further rollouts. After reviewing various options, Melitta chose ecosio as its central implementation partner, with three factors proving decisive:
Direct platform access
Melitta chose ecosio to work directly with the underlying platform, avoiding additional intermediary layers and keeping coordination simple and efficient.
Fully managed service
Melitta chose ecosio’s fully managed service to handle regulatory complexity and format management without building specialist expertise for every market.
Seamless SAP integration
Melitta chose ecosio for its seamless fit with the existing SAP environment, allowing add-ons such as AFI to remain in use while minimising disruption to established processes.
The implementation took place country by country, starting with Belgium and Poland. Each rollout built on the previous one. Under time pressure, the team had to build processes in parallel with implementation, requiring close coordination between Melitta and ecosio.
With each subsequent rollout, roles, responsibilities and technical requirements became clearer, making later implementations more efficient. After the rollouts in Belgium and Poland were completed, preparation for France was already under way. At the same time, Germany and 13 entities were defined as the next major milestone.
Today, together with ecosio, we are a really well-coordinated team. We know exactly who needs to deliver what, and the processes run very efficiently.
For Melitta, the project was not just about meeting individual e-invoicing mandates, but about creating a structured, scalable rollout model for future country requirements. ecosio delivered value in three areas in particular.
